How to Create Vacation Auto Reply in Outlook

Are you planning a well-deserved vacation but worried about the influx of emails while you’re away? Worry no more! Outlook’s vacation auto reply feature allows you to automatically respond to incoming emails during your absence. This article will guide you through the process of creating a vacation auto reply in Outlook, ensuring that your email inboxes remain manageable even when you’re enjoying some much-needed time off.

Step 1: Access Outlook Settings

First, open Outlook and navigate to the “File” tab at the top-left corner of the screen. Click on “Options” to open the Outlook Options window.

Step 2: Go to Mail Settings

In the Outlook Options window, select the “Mail” category from the left-hand menu. This will display a list of various mail settings.

Step 3: Click on “Automatic Replies

Within the “Mail” category, scroll down and click on “Automatic Replies” to open the Automatic Replies settings.

Step 4: Enable Vacation Auto Reply

Check the box next to “Send automatic replies” to enable the vacation auto reply feature. This will activate the vacation auto reply settings for your Outlook account.

Step 5: Set the Start and End Date

Enter the dates for when you want the vacation auto reply to begin and end. Make sure to set the end date to return from your vacation to ensure that the auto reply is disabled when you’re back.

Step 6: Customize Your Auto Reply Message

In the “Reply message” section, you can create a custom auto reply message. You can use the provided text box to compose your message, including a greeting, a brief explanation of your absence, and any instructions for urgent matters. You can also format your message by using the toolbar options.

Step 7: Set the Scope of Your Auto Reply

Choose whether you want the vacation auto reply to be sent to everyone or only to external senders. If you want to exclude certain contacts, you can add them to the “Do not send automatic replies to” list.

Step 8: Save and Close

Once you have customized your vacation auto reply, click “OK” to save the settings. Close the Outlook Options window to complete the process.

That’s it! Your vacation auto reply is now set up in Outlook. Enjoy your well-deserved vacation, knowing that your email inboxes are being taken care of.

Remember to turn off the vacation auto reply before you return to work to ensure that you receive all incoming emails. Happy vacation!
